How to Manage the Training Register

The Training Records Register is a centralized ledger to track worker qualifications, High Risk Work (HRW) licences, and other certifications required for WHS compliance.

Use this when you need to record a new qualification for a worker, verify a submitted training record, or check for expiring and expired licences to ensure ongoing compliance.

  • Role: You must have the Admin or Safety Manager role.
  • Setup: Workers must be added to your organization’s profiles.
  1. Navigate to the Training Records Register.
  2. Filter Records by clicking the Active, Expiring Soon, or All Records tabs to view the relevant subset of qualifications.
  3. Select Add Record to log a new qualification manually.
  4. Fill in the worker’s name, qualification type (e.g., HRW — Scaffolding, First Aid), licence number, and expiry date.
  5. Click Add Record to save the information.
  6. Select Verify next to any unverified records to confirm they have been checked and approved by an admin.

  • Q: How do I know which licences are expiring soon? A: The Expiring Soon tab will show any records expiring within the next 30 days. These will also be highlighted in amber.
  • Q: What happens if a record is expired? A: Expired records are highlighted in red and clearly marked with an Expired status badge. You should request updated documentation from the worker.
