How to Manage White Card Credentials

What is this?

The White Card Approval Ledger allows administrators to review, verify, or reject worker general construction induction credentials.

When to use this?

Use this workflow when new workers submit their White Card details and images for approval. Validating these credentials ensures that only compliant workers are assigned to sites and helps resolve active site blockouts.

Why this works this way

General construction induction training (the “White Card”) is a WHS Regulations requirement for anyone carrying out construction work — that’s why a worker without a verified card is automatically blocked from site assignment rather than just given a warning.

Prerequisites

• Role: You must have the Admin or Safety Manager role.
• Setup: Workers must have submitted their White Card information via their profile.

Step-by-Step Guide

1. Navigate to the White Card Approval Ledger via the Admin dashboard.
2. Review Pending Approvals by selecting the Pending Review filter tab.
3. View Card Image by clicking the Eye icon next to a submitted credential to inspect the uploaded document.
4. Select Verify (green checkmark) if the card details and image are valid.
5. Select Reject (red cross) if the credential is invalid or illegible. This will clear the entry and allow the worker to re-submit.

Troubleshooting & FAQs

• Q: Why are workers showing as “Active Site Blockouts”? A: A worker will be blocked from site assignment if they have not uploaded a White Card, or if their submitted White Card is pending review or has been rejected.
• Q: Can I view already verified credentials? A: Yes, click the All Records filter tab to view both verified and pending credentials.
